Deep Work Focus Planner

Don't let your day be consumed by shallow tasks. Calculate your capacity for deep, focused work and protect those blocks of time.

Total hours you intend to work today

Total time spent in calls and meetings

Emails, Slack, and administrative tasks

Typical deep work blocks are 60-120 minutes

Deep Work Capacity = Total Hours - (Meetings + Admin); Blocks = floor(Capacity / Session Length)
Total: 8h, Meetings: 3h, Admin: 1.5h. Capacity: 3.5h. At 90min/block: 2 Blocks (3h total), 0.5h buffer.

What is "Deep Work" and why is it important?

Deep Work, a term coined by Cal Newport, is the ability to focus without distraction on a cognitively demanding task. It is a "superpower" in the modern economy because it allows you to master complicated information and produce better results in less time compared to "shallow work" (emails, slack, meetings).

How long should a deep work session be?

The optimal deep work session is typically between 60 and 90 minutes. This aligns with our natural ultradian rhythms. Any shorter and you may not reach the "flow state"; any longer and your cognitive performance begins to decline. Always include a 15-30 minute "shallow break" between sessions to recharge.

How do I handle "shallow work" tasks?

The best strategy is "batching." Instead of answering emails as they arrive throughout the day, schedule two 30-minute blocks (e.g., at 11am and 4pm) to handle all administrative tasks. This protects your deep work blocks from being fragmented by constant interruptions.

Can I do deep work every day?

Most people have a limit of 4 hours of true deep work per day. Attempting to force 8 hours of deep focus often leads to diminished returns and burnout. The goal is not to maximize hours, but to maximize the intensity of the focus during those few peak hours.
